5 & 10-Year Maintenance Plans

Proactive management that extends a property's lifespan, minimises disruption, and creates a safe and attractive environment for occupants while maximising the owner's return on investment. We assess the property, prioritise what needs doing, cost it, and set it against a five- and ten-year timeline you can budget to.

Plan horizon

5 and 10 years

Property assessment

Before the plan is written

Inspections

Scheduled, against checklists

Plan review

Revised as conditions change

What we take on

The whole job, not just the symptom.

Property assessment

Evaluate the current condition of each property, identifying existing issues alongside potential future maintenance needs.

Prioritised maintenance areas

Categorise maintenance tasks by urgency and importance, so critical repairs and immediate concerns are addressed first.

Budgeting

Estimate the cost of each task, and allocate budget across routine maintenance, repairs and contingencies.

Timeline

A schedule of maintenance activity across the next five and ten years, specifying when major repairs or renovations fall due.

Contractor selection

Established relationships with reliable contractors, with contact details and agreements recorded in the proposal.

Documentation

Detailed records of past maintenance and repairs, kept together with warranties, manuals and any related documentation.

Emergency preparedness

A plan and procedures for responding to unexpected issues, including contact details for emergency services.

Energy efficiency measures

Identify where upgrades would improve efficiency, and where energy-saving initiatives are worth implementing.

Regular inspections

Routine inspections scheduled to identify potential problems early, carried out against inspection checklists.

Communication plan

An agreed protocol between property owners, tenants and maintenance staff, with regular updates on maintenance progress.

Legal compliance

All maintenance activity carried out in line with local regulations and building codes.

Long-term planning

Anticipate changes in property use or occupancy, and plan for major renovations or upgrades over the term.

Feedback

Gather feedback from tenants and property owners, and use it to adjust the plan where it is not working.

Review and adjust

Periodically review and update the plan as circumstances change, staying flexible on priorities and budgets.

How we approach it

A maintenance plan with no contingency in it is a wish list.

The point of a five- or ten-year plan is to stop paying emergency prices for work that could have been scheduled. But a plan costed once and then filed fails for entirely predictable reasons: material and labour costs move, regulations change, unexpected structural or equipment failures divert money away from scheduled work, and over ten years inflation erodes whatever was set aside. So the budget is allocated across routine maintenance, repairs AND contingencies from the outset, and the plan is reviewed on a schedule rather than written once.

  1. 01

    Assess

Walk the property and record its actual condition — existing faults, and what is likely to need attention over the term.

  2. 02

    Prioritise

Sort the work by urgency and importance, so critical repairs are never scheduled behind cosmetic ones.

  3. 03

    Cost it

Price each task and allocate the budget across routine maintenance, repairs and contingencies.

  4. 04

    Schedule it

Place the work on a five- and ten-year timeline, with major repairs and renovations dated.

  5. 05

    Review it

Revisit the plan as costs, regulations and the property's use change, adjusting priorities and budgets.
